Captn Privacy Policy
Last updated: 14 October 2026
Captn is an app for fitness coaches. Coaches use it to keep their clients' details, build workout and nutrition plans, and send those plans to clients as PDF files. This policy explains what information Captn keeps, why, where it is stored, and the choices you have.
Captn is made by Ahmed Moussa ("we"). Contact: a7mdmosaa@gmail.com.
Who this policy covers
- Coaches who create a Captn account and use the app.
- Clients of those coaches, whose details a coach enters into Captn. Clients do not use the app themselves.
For client information, the coach decides what to enter and why. The coach is responsible for telling their clients and getting their agreement where the law requires it. We keep and process that information only to provide Captn to the coach.
What we keep
About coaches
- Account details: name, email address and a password (stored by Firebase Authentication; we never see the password).
- Branding you choose to add: business name, phone number, Instagram handle, logo, brand color and the footer message printed on your PDFs.
- A profile photo, if you add one.
- App settings: language, units, first day of the week and reminder times.
About clients (entered by the coach)
- Name, birth year, sex, height, weight, body fat, body measurements, goal and goal weight.
- A photo of the client, if the coach adds one. It is shown only inside the coach's app, not on PDFs.
- Training days, available equipment, injuries and notes.
- InBody results, saved only as the files the coach adds (PDF or photo). Captn does not read or extract the numbers inside these files.
- Workout plans, nutrition plans, check-ins and the PDF files the coach has sent.
Technical information
- Crash reports (through Firebase Crashlytics): the device model, operating system version, app version and where in the app a crash happened. Crash reports do not include client details.
Captn does not show ads, does not track you across other apps or websites, and does not sell or share personal information for advertising.
How we use it
- To run the app: sign you in, store and sync your clients and plans across your devices, and make PDF files.
- To send plan reminders that you turn on. Reminders are scheduled on your phone.
- To fix crashes and keep the app working.
Where it is stored
Captn uses Google Firebase (Authentication, Cloud Firestore, Cloud Storage, Cloud Functions and Crashlytics). Your data is stored in Google's europe-west1 region (Belgium). Data is encrypted in transit and at rest by Google. Each coach's data can only be read by that coach's signed-in account.
PDF files are made on your phone. When you send a PDF, it goes through the app you choose (for example WhatsApp or Mail), under that app's own privacy terms. Captn also keeps a copy so you can open or resend it from History.
How long we keep it
We keep your data while your account exists. You can delete a client at any time; this deletes their details, plans, check-ins and files. You can delete your account in the app (Account → Delete Account); this deletes your account and all its data, including files, right away. Copies in Google's backups are removed on Google's normal schedule.
Your choices and rights
- You can view and change your information in the app at any time.
- You can delete clients or your whole account in the app.
- Depending on where you live, you may have the right to access, correct, delete or export your personal information, or to object to its use. Contact us at a7mdmosaa@gmail.com and we will answer within 30 days.
- Clients who want to access or delete their information should ask their coach. We will help the coach do this.
Children
Captn is meant for coaches aged 18 and over. Coaches who enter details of clients under 18 must have the agreement of the client's parent or guardian.
Changes
If we change this policy, we will update the date above and, for important changes, tell coaches in the app.
